Zoom Events Best Practices

Planning a Zoom event? Let’s make it a smooth, engaging, and memorable experience for everyone involved. Below are practical tips to help you prepare, host, and follow up like a pro.

 

Set Clear Goals
Start by defining what you want to achieve. Are you fostering connections, sharing knowledge, or celebrating accomplishments? Knowing your purpose will guide your decisions throughout the planning process.

Create a Strong Agenda
Keep it concise and focused. Plan your timing carefully to ensure you’re sticking to the schedule, and leave room for Q&A or networking. Share the agenda with your attendees ahead of time, so they know what to expect.

Promote the Event

  • Advertise early and often!
  • Use platforms like email, social media, and newsletters to spread the word.
  • Highlight exciting elements, like guest speakers, topics, or networking opportunities.

Test Your Tech

  • Rehearse with your speakers and team to test audio, video, and slides.
  • Confirm everyone has the latest version of Zoom.
  • Check your internet connection and have a backup device ready in case something goes wrong.

Set Up Registration

  • Use Zoom’s registration feature to gather attendee details.
  • Personalize the form to reflect your event’s branding and purpose.
  • Send a confirmation email with the event link, agenda, and any pre-event materials. If you hook their interest with a snapshot of content before hand, they are more likely to show up!

Prepare Materials

  • Share slides, discussion guides, or other resources in advance.
  • If possible, aquire all slides from different speakers ahead of time and combine them into one slide deck that you can test.
  • Consider creating a checklist for your team to ensure all roles are covered during the event.

Start Early
Log in 30 minutes before the event starts to troubleshoot any last-minute issues. Enable a waiting room to ensure that early arrivers don't enter until you are ready.  You can even admit specific people, like your speakers without opening the rest of the waiting room. Test your mic, camera, and screen sharing one more time.

Assign Key Roles

  • Host: Oversees the event and introduces speakers.
  • Co-Host: Manages the chat, Q&A, and polls
  • Tech Support: Handles any technical issues for attendees and speakers.

Engage Your Audience
Keep attendees involved with Zoom’s interactive features:

  • Polls: Use these to break the ice or gather real-time feedback.
  • Chat: Encourage participants to ask questions and share comments. Asking guests to put their name, location and volunteer role in the chat is a great way to engage everyone and see the diversity of your audience.
  • Reactions: Allow attendees to give quick feedback like applause or thumbs-up.
  • Breakout Rooms: Facilitate small-group discussions or workshops.

Keep It Accessible
Enable live transcription for those who might need it and ensure materials are easy to access during the event.

Record the Event
Let attendees know you’re recording. This makes it easy to share the session with anyone who missed it or wants to revisit key points. 

Stay Flexible
Virtual events can be unpredictable. Be ready to adapt if something doesn’t go as planned—whether it’s technical difficulties or unexpected questions.

Share the Recording
Send a follow-up email with the event recording and any additional materials, like slides or resources mentioned during the session. 

Thank Your Attendees and Team
A little appreciation goes a long way. Thank everyone who participated and remind them of upcoming events or ways to stay connected.

Gather Feedback
Ask attendees to fill out a quick survey. Include questions like:

  • Would you recommend an event like this to a fellow alum?
  • What did you enjoy most?
  • Was there anything we could improve?
  • What topics would you like us to cover next time?

Review Your Analytics
Zoom provides valuable insights, like how many people attended and how engaged they were. Use this data to evaluate your event’s success and identify areas for improvement.

  • Keep the Agenda Flexible: Plan for potential delays or extended Q&A sessions.
  • Know Your Tools: Familiarize yourself with Zoom’s latest features, like breakout rooms, reactions, and live transcription, to create a more dynamic event.
  • Plan for the Unexpected: Have backup speakers or pre-recorded materials ready in case of tech issues.
  • Rehearse Transitions: Smooth transitions between speakers and segments make the event feel more polished.
  • End on a High Note: Summarize key points and leave attendees with a memorable final thought or actionable takeaway.
